Project Status Report

This topic teaches students and community leaders how to create professional Project Status Reports. Participants will learn how to collect data from their team, analyze the project’s performance, and present the information in a way that is clear, concise, and professional. This ensures that the school and community always have a transparent view of the project’s success.

  • The Status Report Template: Learning the five essential elements of a professional update:
    1. Overall Health: (Red/Yellow/Green status).
    2. Milestone Progress: What did we finish since the last report?
    3. Upcoming Work: What are we doing in the next two weeks?
    4. Budget Status: How much have we spent versus our plan?
    5. Risks & Issues: What is blocking us or could go wrong soon?
  • Variance Analysis: Measuring the “gap” between where you are and where you planned to be (e.g., “We are 3 days behind schedule because of the rain”).
  • Work Performance Data: Collecting honest updates from team members without making them feel “policed.”
  • The “Executive Summary”: Learning to write a 3-sentence version of the status for busy principals or community leaders who don’t have time for the full report.
  • Distribution and Archiving: Ensuring the status report is sent to the right people and saved as a record of the project’s history.
